The information we collect

We collect only what we need to answer your enquiry and deliver our services. This may include:

  • Contact details: your name, business name, email address, phone number, and business address.
  • Project details: information about your business, your customers, and your goals that you share with us so we can plan your website or audit.
  • Website access: logins for your hosting, domain, or website, which you give us only when we need them to do the work.
  • Billing details: the details needed to send invoices. We do not ask for your credit card details; payments are handled by you via a bank transfer.
  • Website usage: general information about how people use our website, such as pages visited and the type of device used (see Cookies and analytics below).

We don’t ask for sensitive information, such as health or financial details. Please don’t send it to us.

How we collect it

We collect most information directly from you when you:

  • Fill in a form on our website, such as the contact or audit request form.
  • Email, phone, or message us.
  • Become a client and share project details with us.

When you ask for a website audit, we also look at your public website, the same way any visitor or search engine can. We don’t need your passwords for an audit.

How we use it

We use your information to:

  • Reply to your enquiry and give you quotes.
  • Design, build, audit, host, or support your website.
  • Send invoices and keep business records.
  • Let you know about important changes to our services.
  • Improve our website and services.

We follow the Spam Act 2003 (Cth): we will not send you news or offers. The emails we will send you will be in relation to the services you have requested from us, every email says who it’s from. We will never sell or rent your personal information.

We don’t use your personal information to make automated decisions about you. The AI tools we use in website audits look at websites, not at people.

Website audits

Our website audits use automated tools and artificial intelligence, and every report is reviewed by us before we send it. To create an audit, we:

  • Visit the public pages of your website and take screenshots of them.
  • Optionally run speed and quality tests using Google PageSpeed Insights.
  • Send the page content, screenshots, and test results, together with the business details you give us (such as your type of business and target customers), to Google’s Gemini AI service to help write the report.

We don’t send your contact details or passwords to these services. If you’d prefer us not to use AI tools on your website, please let us know ahead of time.

We keep audit reports so we can compare results over time and show you your progress. You can ask us to delete them at any time.

Who we share it with

We only share your information when we need to in order to provide our services or when the law requires it. The service providers we use include:

Hosts our website and email provider.

Some of these providers store data outside Australia. We choose reputable providers and take reasonable steps to make sure they protect your information in a way that meets the Australian Privacy Principles.

Cookies and analytics

Our website uses cookies: small files stored on your device that help the site work and show us how it’s used. We use:

  • Essential cookies, which the website needs to work properly.
  • Analytics cookies from a custom plugin we have built, which tell us which pages are popular and how visitors find us. This information is grouped together and doesn’t identify you personally.
  • You can block or delete cookies in your browser settings. The website will still work, but some features may not.

How we keep it safe

We store your information securely, using password-protected accounts with two-step login where available. Only the people who need your information to do the work can see it.

  • Website logins you give us are stored in a secure password manager and used only for your project.
  • When the project ends, we recommend you change those passwords.

We keep your information only for as long as we need it: for the length of our work together, and then for as long as the law requires for business and tax records (5 years, as the Australian Taxation Office requires). After that, we delete it securely.

If a data breach is likely to cause you serious harm, we’ll tell you as soon as possible. Where the Notifiable Data Breaches scheme applies, we’ll also notify the Office of the Australian Information Commissioner (OAIC).

Seeing, correcting, or deleting your information

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Just contact us using the details below. We’ll respond within 30 days, and there’s no charge.

Sometimes we may need to keep certain records, for example, invoices we must keep for tax purposes.

If you have a question or a concern about how we handle your information, please contact us first, and we’ll do our best to fix it quickly. We aim to respond within 30 days.
